What you'll do
Support the coordination and delivery management of Project Bird, working closely with the Programme Lead, PMO, workstream leads and key business and technology stakeholders. The role covers the day-to-day PMO activity required to support programme delivery, including planning, reporting, governance coordination, RAID management, action and decision tracking, dependency management, programme documentation and general programme administration.
- Own and maintain programme RAID log, action log, decision log – flagging risks requiring attention, following up on overdue actions, monitoring key dependencies
- Coordinate governance forum agenda’s & attendees, steerco logistics and pack
- Owns notes and actions in programme governance forums
- Support Programme Lead in status reporting, including following up with Workstream Leads for updates
- Maintain stakeholder/contact lists and distribution lists
- Processing NDA’s and maintaining the tracker
- Programme housekeeping - maintain the Sharepoint document library / version control
- Support implementation of programme ways of working and new team member onboarding (e.g. Monday.com licenses)
- Support meeting effectiveness. Making sure meetings have clear objectives, the right attendees, actions are captured, and follow-ups happen.
- Support Programme Lead in organisation of programme events, workshops
Who you are
- Excellent organisation skills, with the ability to track a high volume of activity across multiple workstreams, manage competing priorities, plan ahead and follow agreed processes consistently.
- Excellent attention to detail and highly accurate, with the ability to spot when information is missing or incorrect, and keep logs up to date with relevant information, maintaining this focus consistently
- Proactive and reliable, with the confidence to take initiative, follow up on actions, chase missing inputs and flag gaps where support is needed.
- Builds good working relationships quickly and works with stakeholders in a professional and collaborative way to keep updates, actions and deadlines moving.
- Clear and effective communicator, able to produce well-written updates, actions and meeting notes, and share clear instructions with the project team.
- Able to stay calm, focused and adaptable in a fast-moving programme environment where priorities may change.
- Good judgement and professionalism, including knowing when to escalate risks, issues or gaps, and handling sensitive programme information appropriately.
- Previous PMO or project support experience desirable, including exposure to governance forums, RAID logs, action and decision logs, and dependency tracking.
- Confident using Microsoft 365 tools, including Excel, PowerPoint, SharePoint, Teams and Outlook; experience using Monday.com would be advantageous.
- Willingness to learn and adapt, with a positive, practical approach to supporting programme ways of working.
